Position Requirements
 

General Executive Duties

 
  • Speaking on behalf of the Club at events.

  • Assisting any of the Directors and the President where needed;

  • Organizing and helping develop relevant website content (e.g. add external events that would be of interest to members, etc.)

  • Upholding the mission and values of the Club

  • Descriptions and responsibilities for each Executive Board position have been included here within. In addition to the items mentioned, all Executive Board members will be expected to 1) Recruit for membership and elections; 2) Contribute content to the newsletter, website, Facebook and LinkedIn pages; 3) Speak on behalf of the Club at events; 4) Help with the planning of Club events; and 5) Assist any of the Executive Board members as needed


President
 

Establishes the vision, goals, and objectives for Club activities and events.  Actively encourages responsible fulfillment of all Executive Board member roles. Specific requirements and responsibilities of the President include:

 
  • Must be an admitted degree candidate in the Sustainability ALM, Global Development Practice ALM or Environmental Studies ALB.

  • Setting the agenda for and leading each Club meeting;

  • Acting as the liaison between the Club and the following: Harvard Extension Student Association (HESA); SEM (or other Extension School) program officials, faculty, and staff; Club Board members and advisers; and the Council of Student Sustainability Leaders (CSSL);

  • Coordinating Executive Board member assignments for committees and smaller planning groups;

  • Providing leadership for Executive Board members and enacting policies voted on by the Executive Board; and

  • Ensuring compliance with all policies including, but not limited to, those of HESA, the Harvard Extension School (HES), and Harvard University.

 

Vice President
 

Provides critical assistance to directly support the President’s responsibilities and assumes the office of the President upon the removal, resignation, or inability of the President to perform his or her duties.  Specific responsibilities of the Vice President include:

 
  • Must be an admitted degree candidate to the Sustainability ALM, Global Development Practice ALM or Environmental Studies ALB.

  • Ensuring the Executive Board is compliant with Club By-Laws;

  • Helping develop programming and working with the President to set the vision, goals and objectives;

  • Coordinating annual Executive Board elections and spearheads recruitment of potential candidates; and

  • Providing general leadership for the Executive Board.


Director of Event Management

 

Oversees planning of all Club events, including schedule, budget, event description and materials. Specific responsibilities of the Director of Event Management include:

 
  • Must be an admitted degree candidate to the Sustainability ALM, Global Development Practice ALM or Environmental Studies ALB. 

  • Organizing event logistics (e.g. venue booking, catering, AV setup), tasks leading up to and during the day of the event (e.g. table and chair setup, name tags); and follow-ups (e.g. thank you emails, feedback surveys, speaker list, etc.);

  • Coordinating event committee member activities;

  • Acting as liaison between event committee members and Executive Board to provide updates at Club meetings; and

  • Ensuring sustainability of all events, including marketing materials, food and drink, and event merchandise.

 

Director of Finance

 

Manages financial transactions including, but not limited to, invoices, reimbursements, and payments. Specific responsibilities of the Director of Finance include:

 
  • Working with the President to develop the per-semester budget to be approved by the Executive Board and HESA;

  • Coordinating with Harvard Extension School administration to process invoices for major expenses (in excess of petty cash) 

  • Managing bank account and ensuring timely processing of financial transactions including payments and reimbursements for expenses  

  • Maintaining record of Club’s finances and producing a financial statement as needed for presentation and review at Club meetings;

  • Identifying and evaluating alternative sources of financing, such as fundraising;

  • Ensuring online vendor ticketing accounts are properly linked to Harvard University Employees Credit Union account; and

  • Overseeing or appointing a proxy to manage collection of payment from event sales.

 

Director of Internal Affairs

 

Maintains record of Club communications and documents and helps implement organizational strategies to ensure operational efficiency.  Also assumes the office of Vice President upon the removal, resignation, or inability of the Vice President to perform their duties. Specific responsibilities of the Director of Internal Affairs include:

 
  • Taking notes at Club meetings and ensuring their accessibility via Google Drive;

  • Tracking attendance of Executive Board members at Club meetings and events;

  • Maintaining repository of historical documentation, Club knowledge and internal contact lists; and

  • Acting as the primary contact for any filings or paperwork required by HESA.

 

Director of Member Development

 

Primarily responsible for coordinating networking and volunteer opportunities for members

 
  • Working with Director of Event Management to organize beginning and end of semester club socials;

  • Monitoring membership database and following up with new members regarding their stated interests;

  • Identifying opportunities for members to partner with other members based on shared interests or geographic location;

  • Maintaining member opportunity database and acting as liaison with partner organizations for internship and volunteer opportunities;

  • Recording and tracking member participation (e.g. # of hours volunteered or # of events attended); and

  • Coordinating member appreciation or recognition via Club newsletter, etc. 

 

Director of Marketing and Public Relations

 

Helps the Director of Event Management and other Executive Board members establish strategies for successful advertising of Club, events and activities. Specific responsibilities of the Director of Marketing and Public Relations include: 

 
  • Overseeing the design of Club’s online and print advertising material (e.g. flyers, mugs, buttons, business cards, t-shirts, water bottles, etc.--anything with Club logo on it) 

  • Selecting “swag” (merchandise) vendor and working with Director of Finance to establishment payment and delivery system 

  • Coordinating marketing committee member activities;

  • Ensuring consistent Club branding;

  • Working with Director of Event Management to develop promotional plan for events;

  • Liaising with different groups for advertising (HESA, SEM program, other campus groups, postering, etc.);

  • Organizing in-class event advertising (e.g. announcements or PowerPoint slides);

  • Managing web presence, i.e. social media and website, in partnership with the Director of Member Development and Director of Technology; and

  • Gathering content, preparing, and distributing Club newsletter.

 

Director of Technology

 

Oversees and provides support for all technological aspects of Club activities and communications. Specific responsibilities of the Director of Technology include: 

 
  • Performing website updates (formatting) and maintenance, helps develop new features and / or tools as needed;

  • Troubleshooting any problems with the website, mailing list or other tech issues;

  • Maintaining communications with IT contacts at Harvard (iSite, Harvard Computer Society) or other platforms if used by the Club;

  • Working on developing new useful platforms for the Club (e.g. database or membership tracking system);

  • Supporting other Executive Board members as needed and

  • Setting up tech communications capabilities at Club meetings 

 

Director of Student and Alumni Advisory Council (SAAC)

 

Connect HESEC with SAAC to plan events and promote the club on a global level. Provide support to the Master's in Development Program students for job opportunities, networking and the promotion of the MDP brand. Specific responsibilities of the Director of Student and Alumni Advisory Council (SAAC).

 
  • Must be an admitted degree candidate in the Global Development Program ALM.

  •  Attend quarterly SAAC meetings.

  • Acting as a Liaison between HESEC and SAAC.

  • Follow By-Laws of HESEC and SAAC.

  • Ensure all compliance with all policies including, but not limited to, those of HESEC, HESA, The Harvard School (HES), and Harvard University

  • Work with the Director of Events Management to coordinate SAAC events.*Complete reports of all SAAC communications to HESEC.

  • Coordinate with the Director of Marketing and Public Relations for SAAC advertising and promotion.
